Booking an Appointment

  • Bookings must be made directly through myself via WhatsApp or text message, ideally, or by email/ phone.
  • If you are a new client, please kindly fill out the Physiotherapy Consent form. Once this is completed an appointment can be made.
  • Veterinary/ Equine Physiotherapists are required to treat under the Veterinary Surgeons Act 1966, and therefore all treatments other than ongoing/maintenance treatments require veterinary consent. If your horse has not been referred to me by your vet, I will need to contact your veterinary practice to gain consent before any treatment takes place. By completing and submitting the new client registration form, you agree to me contacting your vet and any other relevant professionals to discuss your horse.

Preparing for an Appointment

  • To make the treatment as efficient as possible, please ensure your horse is clean, dry and ready for the appointment, otherwise, treatment cannot be carried out effectively.
  • Please ensure there is a quiet, safe area for the treatment to take place, such as a stable or tie-up area. If there is no indoor space, appointments may have to be rescheduled in the event of bad weather.
  • The right is reserved to refuse physiotherapy treatment if the horse requires veterinary treatment before physiotherapy, or if the horse is considered a danger to the physiotherapist. In these cases, the client will not be charged for the full appointment but may be charged a travel and assessment fee. These situations are case dependent and will be discussed on the day.
  • It is the owner’s responsibility to declare any changes to the horse’s health both prior to and between treatments.
  • It is the owner’s responsibility to inform the Equine Physiotherapist of any infectious or contagious diseases present on the yard prior to treatment. Failure to do so may result in no treatment and a full session charge. 

Payment Methods

  • Ideally, payment is required on the day of the appointment, either by BACS or cash at the time of the appointment.
  • For clients who prefer to pay by BACS, invoices will be issued after the appointment. It is appreciated if invoices are settled within 5 days of the issue date. Late payment fees will apply, at a rate of £2.00 per additional day if the invoice is not settled within 5 days.
  • Travel charges will apply to bookings outside of my travel radius, as shown on the contact page, at a rate of £2 a mile.

Insurance Claims

  • Please note that I do not deal with direct claims. You will be required to cover the costs of any treatment with me and I can then provide a receipt of payment as well as a full treatment report which you can use to claim on your insurance, if applicable.

Group Booking Discounts

  • I offer a group booking discount of 10% off each treatment where 3 or more horses are treated at the same location, on the same day.

Cancellation Policy

  • If you need to cancel your appointment, please contact me as soon as possible. I understand that in some circumstances, this is unavoidable. Cancellations made with at least 48 hours’ notice will not be charged.
  • Cancellations made less than 48 hours before the appointment will incur 50% of the fee.
  • Cancellations made less than 24 hours before the appointment will incur the full fee.

Data Protection

  • All client information is strictly bound by the Data Protection Act 2018 and the confidentiality law within the Veterinary Surgeons Act 1966. Personal data including names, contact details and animal’s veterinary history will be taken before treatment and kept to allow progress to be tracked and enable me to contact you. All data is stored securely on a private, password-protected computer. This information will not be shared without your prior consent.
  • Photos and videos may be taken during treatments to document progress. Occasionally these may be used on my website or social media pages to market the business and educate others. If you do not wish for photos or videos of your animal to be shared then please let me know.

Disclaimer

  • The Equine Physiotherapist does not take any responsibility for any accident  or injury sustained by the owner or horse during an equine physiotherapy session, nor loss or damage to personal property whilst on the premises.

Package Plans

  • 1. Package Structure
     
    All plans are structured packages paid by monthly instalments and are not rolling monthly subscriptions.
     
    2. Minimum Commitment
        •    Seasonal Plan: 12-month minimum commitment
        •    Performance Plan: 12-month minimum commitment
        •    Rehabilitation Plan: 6-month minimum commitment
     
    The monthly price reflects the commitment to the full programme.
     
    3. Early Cancellation
     
    If a plan is cancelled before the end of the minimum commitment:
        •    All appointments already attended will be recalculated at the standard pay-as-you-go rate (£75 per session)
        •    Any outstanding balance will become payable
        •    This adjustment reflects the removal of the package discount and does not constitute a penalty or cancellation fee
     
    4. Payments
        •    Payments are taken monthly and are non-refundable
        •    Failure to collect payment may result in suspension of services until the balance is settled
     
    5. Appointments & Usage
        •    All appointments, including assessments, treatment sessions, and groundwork or review sessions, count toward the total included in the plan
        •    Appointments are allocated based on clinical need
        •    Unused appointments remain valid for 12 months from the plan start date
     
    6. Missed Appointments
     
    Missed or late-cancelled appointments may be counted as used sessions in line with the clinic’s cancellation policy.
     
    7. Pausing a Plan
     
    Plans may be paused in cases of illness, injury, or exceptional circumstances at the practitioner’s discretion. Paused time does not count toward the minimum commitment.
